Control Robotics Fair – General Terms and Conditions

I. Definitions

  1. Stichting Delft Student Association Rudolf Kalman and Vereniging Student Association Vehicle Engineering, registered with the Chamber of Commerce under number 68483449 and 71598251 respectively, have the goal of connecting students – interested in Control, Robotics, Systems and Simulation – and industry,
  2. Event: The Control Robotics Fair
  3. Participant: person who signs in during the Control Robotics Fair,
  4. Agreement: these General Terms and Conditions between the Control Robotics Fair and the Participant concerning the participation in the Event.
  5. Participation Fee: the costs for the Participant to participate in the Events. These costs are paid per person.

II. Applicability

  1. The Agreement starts on completion of the enrolment for the Events.
  2. The Agreement is applicable regardless of the location where the Agreement is made or where the Agreement will be applied.
  3. Any deviations from the Agreement must be agreed to in written form. Such deviations are only applicable to the concerning clause within the Agreement and not for the rest of the Agreement.
  4. In case of contradictory clauses in the deviation and the text in the Agreement, the clauses in the deviation prevail.
  5. If one or more clauses in the Agreement are invalid or might be void, the remaining clauses of this Agreement stay entirely applicable. CRF and the Participant will subsequently enter consultation to agree new clauses to replace the invalid or annulled clauses, whereby the intent of the original clause will be considered as much as possible.

III. Payment

  1. To officially participate in the Event, the Participant is required to pay the participation fee which is established by the CRF committee before the Event has started.
  2. The participation fee should be paid via the website of the CRF on registration.

IV. Cancellation

  1. The participation fee will not be refunded after payment.

V. Privacy

  1. The ways of processing personal data are disclosed in the Privacy Statement, which can be found on the CRF website.
  2. The way in which photos taken during the Events are used, is specified in the Privacy Statement. By participating in the Event, the Participant agrees to the use of the photos as specified in the Privacy Statement.
  3. When the Participant agrees to the General Terms and Conditions, the Participant automatically agrees to the Privacy Statement.

VI. Accountability

  1. Under no circumstances is the CRF liable for the loss, theft, and/or damage, of whatever nature, of property of Participants.
  2. The Participant shall provide the information that is important to the CRF for the organisation of the Event. Failure to provide this information or failure to do so on time will result in the Participant indemnifying CRF against all damage suffered because of the absence of such information.
  3. Participants that participate in the Event do so at their own risk. CRF does not accept any liability for any damage, on any account whatsoever, which is the direct or indirect result of acts or omissions of CRF, unless the damage is the result of intent or gross negligence.

VII. Alcohol, Drugs and Weapons

  1. CRF has a strict drugs policy. Consumption, possession and/or being under the influence of drugs is not permitted during the Event. The board of CRF reserves the right, in the event of suspicion of possession and/or use of drugs, to refuse/delete the Participant concerned from the Event and, if necessary, to expel them from participation in other Events.
  2. During the Event, the consumption and/or possession of alcoholic beverages is prohibited for persons under the age of 18. The board of CRF reserves the right, in the event of suspicion of possession and/or use of alcoholic beverages by a person under the age of 18, to refuse/delete the participant concerned from the Event.
  3. For Participants 18 years of age or older, it is prohibited to consume and/or possess any alcoholic beverages during the Event, unless provided by CRF.
  4. Participants are prohibited of the possession of weapons or other objects that can be used as weapons. If any weapons are found, the police will be informed.
  5. Any costs for removing the participant will be borne by the participant.

VIII. Behaviour

  1. The Participant should come to the Event with the aim of orienting on or getting acquainted with the companies, recruiters or their own career opportunities, to look for an internship, graduation project or job and/or to learn about job application or anything that might be of use during the application process. If a participant is present without any of these purposes, the board retains the right to expel the Participant from the Event.
  2. If the Participant is bothering other participants, recruiters, the board, or other supporting staff, disrupting the organisation of the Event, the board retains the right to expel the Participant from the Event and to expel the Participant from future editions of CRF.
  3. The dress code during the Events is any dress code that is at least as formal as “Business Casual.” If the Participant is not dressed according to this dress code, the board of CRF reserves the right to expel the Participant from the Event. The board of CRF is allowed to decide whether this is the case. The board of CRF can decide to reallow the Participant to the Event after the Participant has changed clothes. Again, the board of CRF is to decide whether the Participant has changed appropriately.

IX. Lottery

  1. The lottery is organised by the CRF as part of the Event to reward Participants for their engagement and participation in the 10th edition.
  2. The available rewards for the lottery include the JBL Charge 5, Spintronics Act One, and Turing Tumble. The allocation of these rewards to winners will be determined by the CRF committee.
  3. Each lottery participant can win at most one of the available rewards.
  4. The winners will be selected through a random number generator. The draw will take place at 17:00 on May 15th, 2025. The winners will then be contacted through a single email, using the email they signed up with during registration. Winners must reach out within two weeks of the announcement to claim their prize. If a winner does not respond within this timeframe, a backup winner will be chosen at random and contacted.
  5. The winner can pick-up their reward at the faculty of ME, during a to be discussed timeslot.
  6. To be eligible for the lottery, the Participant must:
    • Be a TU Delft student.
    • Have registered before May 11th, 2025, at 23:59 (Sunday).
    • Have checked in at the Event on May 14th, 2025.

X. Other

  1. During the Event, the Participant is obliged to follow instructions, regulations, and/or directions of the board of CRF at all times. If a participant does not comply with these instructions, regulations and/or directions, the board retains the right to expel the Participant from the Event and to expel the Participant from the other Events and/or from future editions of CRF.
